This policy concerns the GardenCity Smiles™ website and enquiries directed to our clinic, a unit of Arogyasaukyam LLP in Bengaluru, India. Clinical registration, examination and treatment may involve additional information and consent processes explained during your care.
Information You Choose to Provide
Appointment-request forms ask for your name and mobile number. Depending on the page, they also ask about your concern, previous consultations or treatment, preferred appointment arrangements and an optional message. Details about symptoms or treatment can be sensitive health information.
When you contact us by WhatsApp or email, we receive the message, sender details and attachments you send. Please share only what is needed for your enquiry. Do not enter identity-document numbers, passwords or detailed medical records into a general appointment form. Call us to discuss how to provide records needed for your care.
How the WhatsApp Forms Work
The forms prepare a message for you to review in WhatsApp. Selecting the WhatsApp button passes the prepared text to that external service. GardenCity Smiles™ receives the enquiry when you send the message to the clinic. Opening a draft does not reserve an appointment.
You can edit or abandon the draft. If you prefer not to use WhatsApp, call the clinic or email us. Information sent through those channels is handled within the relevant service as well as by the clinic.
Why Information Is Used
The purpose of an enquiry is to respond to your questions, understand the type of care you are requesting, discuss availability and coordinate your visit. Information relevant to subsequent care may form part of the clinical record. Treatment decisions and consent are discussed separately; a website enquiry is not consent to a procedure.
Ask us before sending information about another adult. A parent or lawful guardian should coordinate enquiries for a child and provide only the details needed at that stage.
Website Technology and External Services
Loading a website involves technical information such as your IP address, browser details and requested pages. Hosting and security systems may record this information for delivery, maintenance and protection of the service.
This website uses external services including Google-hosted fonts, embedded maps, Google review links, WhatsApp and social-media links. Embedded services may receive technical information when they load, even if you do not click them. External providers apply their own privacy and cookie terms and may process information outside India.
Browser settings can restrict cookies and site data, although some features may then work differently. An external link or embedded service is not a guarantee that no cookies or other identifiers are used.
Access, Sharing and Clinical Records
Enquiries are intended for the clinic team coordinating your response or visit. Messaging, email and hosting providers also process information as part of delivering their services. If your care requires coordination with another clinician or service, ask what information needs to be shared and why; the relevant consent or other lawful basis must be addressed.
Disclosure may also be required by applicable law or a valid legal process. This website policy does not replace the explanations and consent relevant to clinical records, photographs or treatment. Please ask the team before providing sensitive attachments or requesting a record transfer.
Retention and Security
How long information needs to be retained depends on its purpose, whether it becomes part of a clinical record, and applicable record-keeping or legal requirements. Contact the clinic about a particular enquiry or record; deletion may not be possible where continued retention is required.
No online communication method can be represented as completely risk-free. Use a private device where possible, check the recipient before sending and avoid unnecessary sensitive details. Contact us promptly if you believe information has reached the wrong recipient.
Your Choices and Privacy Requests
You may contact us to ask about information you have provided, request a correction, ask for access or deletion, or withdraw permission for a particular use. The response depends on the request and applicable law; withdrawing permission does not undo processing already completed or remove record-keeping obligations.
Write to care@gardencitysmiles.in with the subject “Privacy Request”, or call the clinic and ask for clinic management. Explain the request and a safe way to reply. Please do not send identity documents unless the team explains why verification is needed.
If you are dissatisfied with a response, ask for the concern to be escalated to clinic management. Nothing in this policy restricts rights or complaint routes available under applicable law.
